The information we receive depends on how you choose to contact The Bike Zone.

  • Information about your motorcycle, quad, part or equipment
  • The make, model and year of a machine
  • Details of a service request, mechanical issue or parts enquiry
  • Messages and other information you choose to provide
  • Records created while responding to an enquiry or providing workshop services

Please do not send personal information that is not reasonably necessary for your enquiry.

The website does not intentionally request special personal information, medical information, financial-account details or payment-card information.

How we use personal information

The Bike Zone may use personal information to:

  • Respond to a workshop, service or parts enquiry
  • Contact you using your preferred contact method
  • Understand the motorcycle, quad, part or service involved
  • Discuss possible workshop work, inspections, parts sourcing or next steps
  • Maintain appropriate business and service records
  • Respond to questions, complaints or disputes
  • Protect the security and lawful operation of the business
  • Meet applicable legal, accounting or regulatory requirements

Information is processed only for purposes connected to the enquiry, requested service, business administration, legal obligations or other grounds permitted by applicable South African law.

The Bike Zone does not sell personal information.

Information submitted for a workshop enquiry is not used for unrelated direct marketing unless separate permission or another lawful basis applies.

Service enquiry form

The website currently displays a service-enquiry form for local review, but online form delivery is not active. Information entered into the form is not submitted, stored by a form provider or delivered to The Bike Zone through the website.

Visitors should currently contact the workshop by WhatsApp, phone or email.

Before online form delivery is activated, this policy must be updated to identify the provider, recipient, information transmitted, security measures, retention arrangements, international processing and any spam-protection service.

The current form does not include a photo-upload function.

Email, phone and WhatsApp

Email and telephone

When you contact The Bike Zone by email or telephone, the business receives the contact details and information you choose to provide. This information may be retained where reasonably necessary to respond to the enquiry, manage workshop communication or maintain appropriate business records.

WhatsApp

The website provides links that allow visitors to open WhatsApp and contact the workshop. The Bike Zone does not embed WhatsApp into the website and does not receive information from WhatsApp merely because the Contact page is viewed.

When you open WhatsApp or send a message, WhatsApp and its related service providers process information under their own terms and privacy practices. Only send information that is reasonably necessary for the workshop enquiry.

External services and links

The website contains links to services operated by other organisations. These external platforms have their own terms, security arrangements and privacy practices.

Google Maps

The website does not embed a live Google Maps interface. Google Maps is opened only when a visitor chooses a navigation or map link. Google may then receive technical information and location-related information under its own privacy practices.

Kyle Oils and doTERRA

The Rider Wellness page contains links to Kyle’s separate wellness website and to doTERRA’s external South African platform. The Bike Zone does not operate those external platforms and does not process Rider Wellness product accounts, orders, payments or fulfilment.

Information that you submit directly to Kyle Oils, doTERRA or another external platform is handled under the privacy information provided by that service.

Other external links

The Bike Zone is not responsible for the content, availability, security or privacy practices of external websites. Visitors should review the privacy information of a service before submitting personal information.

Cookies, analytics and tracking

The current Website V1 does not intentionally use analytics, advertising pixels, behavioural tracking or marketing cookies.

The website does not currently include a newsletter sign-up, marketing profile, social-media feed or embedded advertising service.

External platforms may use their own cookies or similar technologies after a visitor chooses to open an external link. Those technologies are controlled by the external platform, not by The Bike Zone.

If analytics, tracking, embedded media or other cookie-based functionality is introduced later, this policy and any required consent controls must be updated before that functionality is activated.

Hosting and technical logs

The Production hosting provider has not yet been confirmed.

When the website is publicly hosted, the hosting provider may process limited technical information needed to deliver and protect the website, such as an IP address, request time, requested page, browser or device information and security events.

This section must be updated with the actual hosting provider, hosting location, log purpose and applicable retention information before Production publication.

Sharing and international processing

Personal information may be available to the people who reasonably need it to respond to enquiries, manage workshop communication, provide requested services or maintain business records.

Information may also be processed by approved service providers where this is necessary for email, communications, hosting, security, legal compliance or other authorised business functions.

The Bike Zone may disclose information where required by law, a lawful authority, legal proceedings or the protection of legitimate rights and interests.

Some external services linked from the website may process information outside South Africa. Their own privacy information explains how they handle international processing.

The Bike Zone does not sell personal information to advertisers or data brokers.

How long information is kept

The Bike Zone keeps personal information only for as long as it is reasonably needed for the purpose for which it was collected, for workshop and business records, to resolve questions or disputes, or to meet applicable legal, accounting and regulatory requirements.

Different records may need to be kept for different periods. Information that is no longer reasonably required should be deleted, destroyed or de-identified where appropriate and permitted by law.

Information security

The Bike Zone aims to use reasonable technical and organisational safeguards appropriate to the information and the way it is handled.

No website, communication platform or electronic storage system can be guaranteed to be completely secure. Visitors should avoid sending unnecessary sensitive information through ordinary email or messaging services.

If a security incident affects personal information, The Bike Zone will assess and respond to it in accordance with applicable requirements.

Your rights under POPIA

Subject to applicable law and any permitted limitations, you may ask The Bike Zone to:

  • Confirm whether the business holds personal information about you
  • Provide access to personal information held about you
  • Correct or update inaccurate or incomplete information
  • Delete or destroy information that may lawfully be deleted
  • Object to certain processing
  • Explain how information has been used or shared where applicable

A request may require enough information to confirm your identity and locate the relevant records. The Bike Zone may retain information where continued retention is required or permitted by law.
